How to Invoice as a Tutor

Industries · Free BizDoc · Oct 31, 2026

Tutoring usually means regular sessions with the same students, so the goal is a simple, repeatable invoice — ideally one per month per student or family — that’s easy to pay and easy to track.

Per-session, blocks, or monthly

Bill per session, sell blocks of sessions up front (often at a small discount), or send a monthly invoice listing the sessions held. For regular students, monthly billing in arrears (or blocks in advance) reduces admin.

What to show

List the student’s name, the subject, and the dates and length of each session, with your rate. If you bill a parent for multiple children, group by student so it’s clear. Note your cancellation policy (for example, sessions cancelled with less than 24 hours’ notice are chargeable).

Terms and tax

Keep terms short and send invoices on a set day. Many independent tutors are below VAT/GST thresholds, but apply tax if you’re registered (education can have specific exemptions in some countries — check locally).

Frequently asked questions

How should tutors invoice regular students?

Should I charge for cancelled tutoring sessions?

Many tutors charge for late cancellations (for example, less than 24 hours’ notice). State your policy up front and note it on the invoice so it’s clear.
