A receipt is proof that a payment was made. You issue it after the customer pays, so both sides have a record. Writing one is simple once you know the handful of details it needs.
What a receipt must show
- The word “Receipt” and a receipt number/date.
- Who issued it (your business) and who paid.
- What the payment was for (a short description or the invoice it settles).
- The amount paid and the payment method (cash, card, transfer).
- Any tax, if you are registered and it applies.
Receipt vs invoice
An invoice asks for payment; a receipt confirms it. You send an invoice to get paid, then issue a receipt once the money arrives. They often list the same items but do different jobs.
When to issue a receipt
It is good practice to give a receipt whenever a customer pays, and in some cases (cash payments, certain regulated sales) it may be expected. A clear receipt reduces disputes and helps the customer with their own records.
