If you’re a UK sole trader or small business below the VAT threshold, you don’t charge VAT — and you shouldn’t show a VAT number or VAT amount on your invoices. You can still send clean, professional invoices; they just look a little simpler.
What to include (without VAT)
- The word “Invoice” and a unique invoice number.
- Your name or business name and address.
- The customer’s name and address.
- The invoice date and payment due date.
- A description of the goods or services, with the amount for each.
- The total due — with no VAT line.
- How to pay (bank details or a link).
What to leave off
Don’t show a VAT registration number (you don’t have one) and don’t add a VAT line or charge VAT. Doing so when you’re not registered is not allowed. Your prices are simply the amount payable.
When must you register for VAT?
You must register once your VAT-taxable turnover passes the UK registration threshold over a rolling 12 months (or if you expect to pass it soon). You can also register voluntarily, which lets you reclaim VAT on purchases but means charging VAT to customers.
